1. Purpose

[ORGANISATION NAME] is committed to a conference community that is welcoming, professional, and free from harassment. This Code of Conduct sets expectations for everyone who participates in our Events and related spaces. It is a community standard and operational policy template — adapt enforcement procedures with counsel and trained staff before launch.

2. Scope

This Code applies to:

  • Venue: conference halls, workshops, expo floors, hallways, socials, and official off-site Event activities
  • Online: virtual sessions, chat, attendee messaging, CFP systems, and other platform features we operate for the Event
  • Social and community channels: official social media spaces, community forums, and online groups we host or moderate in connection with the Event
  • Related conduct: behaviour immediately before, during, and after the Event that is connected to participation (including when representing yourself as an attendee, speaker, sponsor, or volunteer)

Everyone is covered: attendees, speakers, sponsors, exhibitors, volunteers, staff, contractors, media, and guests.

3. Expected behaviour

  • Treat others with respect, courtesy, and professional kindness
  • Assume good intent when collaborating, and clarify before escalating
  • Respect personal boundaries, pronouns, and accessibility needs
  • Give credit for others' work; do not pressure anyone to share confidential information
  • Follow venue rules, staff instructions, and local law
  • Speak up (or report privately) if you witness harmful behaviour
  • Keep discussions constructive in sessions, chats, and social channels

4. Unacceptable behaviour

Unacceptable behaviour includes, but is not limited to:

  • Harassment, intimidation, stalking, or sustained disruption of talks or events
  • Discriminatory jokes, slurs, or exclusion based on race, ethnicity, national origin, religion, gender, gender identity or expression, sexual orientation, disability, age, physical appearance, body size, or other protected characteristics under applicable law
  • Unwelcome sexual attention, sexualized language or imagery in professional spaces, or inappropriate physical contact
  • Threats of violence, incitement of violence, or encouragement of self-harm
  • Unwanted recording or photography of individuals who have asked not to be recorded, or of private conversations, in violation of Event rules
  • Spam, phishing, social-engineering, or misuse of attendee contact channels for solicitation
  • Deliberate misgendering, outing someone's private information, or doxxing
  • Retaliation against anyone who reports a concern in good faith

5. Reporting channel

If you experience or witness a violation, report it as soon as you can through any of the following:

  • Onsite: speak with identifiable staff at registration or the help desk — ask for the duty manager or Code of Conduct response team
  • Online: use the in-product report control where available, or message moderators in official channels

Include what happened, when and where, who was involved, and any witnesses or screenshots if you have them. You may report anonymously where the channel allows, though anonymity can limit our ability to follow up. We treat reports as confidential to the extent practical for a fair response. We will not retaliate against good-faith reporters.

6. Enforcement and consequences

Staff will review reports promptly, take interim safety measures when needed, and determine an appropriate response based on severity, intent, history, and available information. Consequences may include one or more of the following:

  • Verbal or written warning
  • Mediation or facilitated conversation (only if all parties agree)
  • Removal from a session, channel, or venue area without refund where permitted by the ticket terms
  • Suspension or ban from the Event platform or future Events
  • Termination of sponsorship, speaking, or volunteer privileges
  • Referral to venue security or law enforcement when criminal activity is alleged or safety requires it

7. Sponsors, speakers, and exhibitors

Marketing materials, booths, demos, and talks must comply with this Code. Sexualized or demeaning imagery, discriminatory targeting, or pressure tactics that harass attendees are not allowed. Sponsor staff are responsible for the conduct of anyone working their booth.
